When you create an online collection, people contribute money for a shared purpose—perhaps a leaving gift, teacher present, birthday, retirement or another important occasion.

But what actually happens to that money after someone contributes?

It is a reasonable question. When you are asking other people to trust a platform with their money, you should understand how contributions are processed, when the funds become available and what happens when the collection ends.

At Viing, we aim to keep that process clear.

The full contribution goes into the pot

When someone contributes through Viing, their contribution is added to the collection total.

Contributors are never charged a fee.

If someone chooses to contribute £10, the full £10 is added to the pot.

The organiser can see the total growing without needing to collect cash, share personal bank details or match payments manually.

Where is the money held?

The money is held by our regulated payment providers in safeguarded accounts, separate from Viing’s own business funds.

While the collection is open, the funds are allocated to that collection and cannot be used by the organiser. Once the occasion ends, the organiser can choose how to use the available balance.

If a contribution is refunded, fails or is disputed, the amount available in the pot may change.

Why does the organiser have to wait until the occasion ends?

Nothing can be done with the collection funds until the occasion has ended.

This gives everyone time to contribute and allows the organiser to see the final amount before deciding what to do next.

It also helps prevent the pot from being spent before the collection is complete.

Once the occasion ends, the organiser can choose the option that best suits the recipient.

Who processes the payments?

Viing works with regulated payment providers to process contributions and transfers securely.

This matters because collecting money online involves more than displaying a running total. Payments need to be authorised, processed and handled through appropriate financial infrastructure.

It also means the organiser does not need to receive every contribution directly into their personal bank account.

What can the organiser do when the collection ends?

Once the occasion has ended, the organiser can choose how to use the money.

Choose a gift

Some or all of the collection can be used to buy a physical gift through Viing.

Standard delivery for physical gifts is included in the product price.

Choose a voucher

The organiser can select a digital voucher, giving the recipient flexibility while still choosing a familiar retailer or experience.

Send Viing Credit

The collection can be sent to the recipient as Viing Credit.

There is no fee for sending Viing Credit, and the recipient can choose how to use it.

Add a printed card or ViingBoard

The organiser can choose a printed group card or digital ViingBoard containing the messages collected for the occasion.

These are optional products with clearly displayed prices.

Withdraw to a bank account

The organiser can withdraw the money to a bank account.

A 5% processing fee applies only when this option is selected.

The fee helps cover the payment processing, compliance, security and operational work involved in offering bank transfers responsibly.

Does Viing automatically take a percentage from every pot?

No.

Creating a collection is free, contributors are never charged, and Viing does not automatically deduct a fee from every collection.

The 5% processing fee only applies if the money is withdrawn to a bank account.

Other options, including gifts, vouchers and Viing Credit, do not carry the bank-transfer fee.

Optional products such as printed cards and ViingBoards have their own clearly displayed prices.

Can the organiser use the money in more than one way?

Yes.

After the occasion has ended, the organiser can use part of the collection for one option and the remaining balance for another.

Sending each payment directly to the organiser may sound simpler, but it can create extra work.

If it is smaller, they can choose a lower-cost gift, voucher or another flexible option.

The organiser does not have to commit before knowing the final total.

What should contributors check before paying?
